SMS Consent & Opt-In Policy

Overview

Vestix sends transactional SMS messages to tenants and rental applicants who have explicitly opted in. We do not send marketing messages, promotional offers, or third-party advertisements via SMS. Consent to receive text messages is never a condition of service — tenants and applicants may use all Vestix features without opting in to SMS.

This page describes how consent is collected, what messages are sent, and how recipients can opt out at any time.

How Consent Is Collected

Vestix collects SMS consent through an explicit, unchecked checkbox presented at two points in the user journey. The checkbox is never pre-checked — the user must actively select it to grant consent. Submitting either form without checking the box completes the action normally; the user simply will not receive SMS messages.

1. Tenant Portal Onboarding

When a landlord invites a tenant to the Vestix tenant portal, the tenant receives an email with a setup link. On the account setup page, after choosing a password, a visually separated section labeled “Optional SMS Notifications” presents an unchecked SMS consent checkbox. Helper text below the checkbox states: “This is not required. You can set up your account without enabling SMS notifications.”

2. Online Rental Application

When a prospective tenant submits a rental application through Vestix, a visually separated section labeled “Optional SMS Notifications” appears below the authorization notice. It contains an unchecked SMS consent checkbox with helper text: “This is not required. You can submit your application without enabling SMS.”

Consent Language

The following text appears next to the unchecked checkbox on both the tenant portal setup page and the rental application form:

“I would like to receive transactional SMS messages from Vestix about my account, rent payments, and maintenance requests. Message and data rates may apply. Reply STOP to opt out, HELP for help.”

The checkbox label links to both the SMS Consent Policy and the Privacy Policy.

Consent Is Not a Condition of Service

SMS consent is entirely optional. A tenant who does not check the consent box can still set up their portal account, pay rent, submit maintenance requests, and access all features of the Vestix tenant portal. A rental applicant who does not check the consent box can still submit their application, which will be reviewed on the same timeline as any other application. There is no difference in service, priority, or functionality based on SMS consent status.

Message Types & Frequency

Vestix sends only transactional SMS messages related to the recipient's tenancy or application. We do not send marketing, promotional, or advertising messages. All messages originate from +1 (855) 340-6249, a verified U.S. toll-free number.

Rent Reminders

Up to 2 per month

Vestix: Hi Jane, your rent payment of $1,450.00 is due on June 1. Pay online via your tenant portal.

Maintenance Alerts

As status changes occur

Vestix: Your maintenance request "Kitchen faucet leak" has been updated to In Progress. View details in your portal.

Application Decisions

Once per application

Vestix: Your rental application has been approved! Check your email for next steps.

Lease Expiry Notices

Up to 3 per lease term

Vestix: Your lease expires in 30 days. Contact your property manager to discuss renewal options.

Estimated total message volume: 4–10 messages per month for an active tenant, fewer in most cases. Message frequency varies based on lease activity, maintenance requests, and payment cycle.

How to Opt Out

Recipients can opt out of SMS messages at any time using any of the following methods:

  • Reply STOP to any message received from Vestix. Opt-out is processed immediately.
  • Reply HELP to receive instructions on how to opt out or contact support.
  • Email support@vestix.org with the subject "SMS Opt-Out" and the phone number to remove.
  • Contact your property manager directly and request removal from SMS notifications.

After opting out, the recipient will receive a single confirmation message: “Vestix: You have been unsubscribed and will no longer receive SMS messages. Reply START to re-subscribe.” No further messages will be sent unless the recipient re-subscribes.

Phone Number Data Handling

Phone numbers collected by Vestix are used exclusively for transactional SMS notifications as described on this page. We do not:

  • Share phone numbers with third parties for marketing or advertising purposes.
  • Sell, rent, or trade phone number data under any circumstances.
  • Use phone numbers for any purpose other than the transactional messages described above.
  • Send messages to numbers that have not explicitly opted in via the checkbox mechanism.

Consent Record Keeping

When a user grants SMS consent, Vestix records the timestamp, the IP address of the request, the specific form on which consent was granted (portal setup or rental application), and the version of the consent language displayed. These records are retained for the duration of the user's relationship with the platform and for a minimum of five years thereafter, in compliance with TCPA record-keeping requirements.
