Privacy Policy

1. Who We Are

Vestix ("Vestix," "we," "us," or "our") operates the property management software available at vestix.org. This Privacy Policy explains how we collect, use, disclose, and protect information about you when you use our services.

2. Information We Collect

Account Information: Name, email address, and password when you create an account.

Portfolio Data: Property addresses, unit details, lease terms, tenant names and contact information, payment records, and maintenance records you enter into the platform.

Payment Information: We use Stripe for payment processing. We do not store full payment card details. Stripe's privacy policy governs their handling of payment data.

Usage Data: Log data, IP addresses, browser type, pages visited, and actions taken within the application. Used for security monitoring and product improvement.

3. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve the Vestix platform
  • Process your subscription and payments
  • Communicate with you about your account and our services
  • Respond to support requests
  • Monitor for security threats and abuse
  • Comply with legal obligations

4. Data Sharing

We do not sell your personal data or your tenants' data to third parties.

We share data only with: (a) service providers who process data on our behalf under data processing agreements (AWS, Stripe, email infrastructure); (b) law enforcement when legally required; (c) a successor entity in the event of a business transfer, with advance notice to users.

5. Data Retention

We retain your data for as long as your account is active. Upon cancellation, data is retained for 30 days to allow you to export it, then permanently deleted from our systems.

6. Your Rights

GDPR (EU/EEA residents): You have the right to access, correct, delete, or port your personal data. You may object to processing or request restriction. Contact us at privacy@vestix.org to exercise these rights.

CCPA (California residents): You have the right to know what personal information we collect, to delete it, and to opt out of its sale. We do not sell personal information. California residents may submit requests to privacy@vestix.org.

7. SMS & Text Messages

Vestix sends transactional SMS messages to tenants and rental applicants who have explicitly opted in. Consent is collected via an unchecked checkbox in a clearly separated “Optional SMS Notifications” section during tenant portal onboarding or rental application submission. Helper text next to the checkbox confirms that SMS is not required. Consent to receive SMS is entirely optional and is not a condition of using Vestix or any of its features.

Messages we send: Rent payment reminders, maintenance request updates, rental application decisions, and lease expiry notices. All messages are transactional — we do not send marketing, promotional, or advertising messages via SMS.

Message frequency: Estimated 4–10 messages per month for an active tenant. Message and data rates may apply.

Phone number privacy: Phone numbers are used exclusively for the transactional SMS notifications described above. We do not share, sell, rent, or trade phone numbers with third parties for marketing or any other purpose.

Opting out: Reply STOP to any Vestix message to immediately opt out. Reply HELP for assistance. You may also email support@vestix.org with the subject “SMS Opt-Out.”

8. Cookies

Vestix uses strictly necessary cookies for session management and authentication. We do not use advertising cookies or third-party tracking cookies. We use analytics cookies to understand how the platform is used; these can be disabled without affecting functionality.
